1 About PubMan

PubMan supports scientists and institutes in the management and the digital curation of their publications. This solution addresses all disciplines and focuses on the target groups scientists, local librarians and local IT. Due to the heterogeneous policies, cultures and workflows of the Max Planck Institutes, customization and configuration options throughout the solution’s features are of major importance.

1.1 Basic Functionalities

For better overview, we divide the basic functionalities of the repository into three main areas of interaction with users and/or systems:

2 Preface

2.1 Log in

Please enter your username and your password to make submissions to eSciDoc.

3 Search

Three different searches are provided.

3.1 Quick Search

Please enter one or more search terms and click on “ok” to perform a search.

The following boolean operators are supported:

If you want to search within the metadata and the full text file attached to a record, please click on the checkbox besides “Include Files”. Only the following mime types are indexed:

3.2 Advanced Search

You can either search via single search options (Any field, Persons, Organizations, etc.) or you can combine the search options with “AND”, “OR” or “Not”.

3.3 Organizations Search

Here you can choose the Organization you are interested in and see the publications, that have been entered for that Organization. A click on the info button will give you more information on the Organization.

4 Search results

If you clicked on “include full text files”, also records will be displayed where the search term was found within the attached full text. You can change the display of single items or of the whole list. If you click on the title of the publication you will get the full item view.

4.1 Export

You can either retrieve the selected items in a certain citation style (e.g. APA) or you can export the items to a certain database (e.g. EndNote). If you export the items to a layout format you additionally have the possibility to send that file via E-Mail.

4.1.1 Send Export via E-Mail

You can send Exports in one of the layout formats (PDF, RTF, ODT, HTML) per Mail. Therefor you have to specify the receiver of the E-Mail and the E-Mail address the receiver can reply to.

If you want to send the mail to more than one E-Mail address, please separate the addresses with a comma and a blank.

5 View item

5.1 Release History

Here you can see the different metadata versions of an item.

5.2 Item Revisions

Here you can find a list of the various revisions of an item.

5.3 Files

If you click on the “files” link, you will get to the section of the record where you can download the attached files.

5.4 View statistics of item

Here you can see how often the item was retrieved and how often the attached full text was downloaded. Please be aware of that the statistics are updated on a nightly basis only.

6 Submission

In PubMan two different ways of submitting content are offered.

7 Create Item

Please select one collection to start your data entry.

8 Create / Edit Item

Please specify the document type (Genre) you want to describe before you start entering the publication data.

Please give at least a document type, title and a creator. They are marked with a red star, because you can’t save or submit the item when you didn’t fill these fields.

8.1 Personens and Organizations

In the big field you can enter creators via copy and paste, which are listed in the person/organization field(s) underneath. Creators/Organizations can also be entered underneath the big field one by one. Please be aware of, that at least one person with an organization or an organization itself.

If you want to enter more than one Creator, please click on ’add’ to retrieve another submission block for entering information on a Creator.

9 Modify Item

Where as “pending” items can be edited by the owner until s/he is fine with the result, released items can only be changed by users, which have the privilege of a moderator. Moderators are responsible for the quality assurance of the item metadata and can therefore change released items, which is called “modify item”.

10 Validate Item

Please validate the item in order to check if it meets the requirements of the collection.

Please note, that you can’t submit an item, which doesn’t meet the requirements of the collection.

11 Save Item

If you go on the “save” button, your item is being put in the status “pending” and can only be seen by you. This might be useful if you want to complete your entry at a later time.

12 Submit Item

If you go on “submit item”, your data will be validated. If your item is valid, you are guided to a mask, where you can state a comment to your submission. After you have submitted your item your item is being sent to the moderator of your collection, who checks the data and either releases it for the public view or sends it back to you for corrections. Items, that have been sent back to are listed in the workspace under “in rework”.

12.1 Submission Comment

In the comment field you can give a comment on your submission, which the user, who is working on your item in the workflow, can read.

13 Accept Item

If you want to release the item, you have modified, please go on “accept”.

13.1 Acceptance Comment

In the comment field you can give a comment on accepting the item, which the user, who is working on the item in the further workflow, can read.

14 Delete Item

Please go on delete item, if you wish to delete the item. Only items in state “pending” can be deleted.

15 Create new Revision

Please state in the comment field the reason for the revision of the item.

16 Withdraw Item

Please state the reason for withdrawing the item.

17 Depositor Workspace

In the depositor workspace all items, which the depositor has created are listed. Here the depositor can complete entries in status “pending” or can enrich entries, that have been sent back to rework.

17.1 Item State

Please open the pull-down list to view items from another item state.

17.2 Sort by

Please specify the sort option of your item list here by opening the pull-down list. If you want to change the default sorting order (ascending, descending), please click into the radio button beside the desired sorting order.

18 Quality Assurance Workspace

In the Quality Assurance Workspace all item, relevant for the moderator are listed. Items in status “submitted” are items, that need to be quality checked. The moderator can either accept them if the quality is ok or send them back for rework to the depositor. Items, which have been sent back from the moderator are listed under “in rework”. Further more the moderator can re-check released items.

18.1 Item State

Please open the pull-down list to view items from another item state.

18.2 Sort by

Please specify the sort option of your item list here by opening the pull-down list. If you want to change the default sorting order (ascending, descending), please click into the radio button beside the desired sorting order.
